Dictators play an important role in ensuring accurate medical documentation. As the initiator of the process, the dictator exercises much control over the efficiency of the process. Unfortunately, many dictators fail to realize how their bad habits can undermine the integrity of the medical documents and sabotage the efficiency of systems that are in place. Quality medical transcription depends on quality dictation.

Two common dictation options include call-in services or digital recordings. Doctors can dictate into their phones or into a hand-held digital recorder. Digital voice files are stored on or uploaded to a server where they can be accessed by the administrator and/or transcriptionists. Phone-in dictations are transferred immediately, but digital voice recorders must have their voice files uploaded. When they are uploaded and in what volume is at the doctor’s discretion.

Transcriptionists Create Medical Records Documentation

Transcriptionists are trained to transfer audio files into text by listening and typing what is heard. They must be proficient in medical terminology and familiar with medical records format, i.e., H&Ps, clinic notes, SOAP, and other medical reports. Transcriptionists are usually paid by line typed or by minute of dictation time, so must work quickly to make sufficient income. Some in-house employee positions (and very few online positions) offer hourly rates and benefits, but many transcriptionists are self-employed contractors. Certified Medical Transcriptionists and Registered Medical Transcriptionists are usually able to command higher wages than uncertified transcriptionists.
